The department

Purpose of the job

To work side by side with fee earners to carry out and assist with all their non-fee earning administrative tasks and supporting them to efficiently deliver their legal fee earning work.

The role provides the opportunity to develop the skills and experience to progress in the firm to Paralegal level and, in the longer term, potentially to Associate level via the SQE route.

Main responsibilities

  • Providing a full range of administration services to partners and fee earners.
  • Assisting in the preparation of reports and correspondence, checking for accuracy, and assisting with proof-reading.
  • Assisting with legal research and analysis.
  • Printing, scanning and collation of legal documents for completions.
  • Working closely with those responsible for client take-on to ensure all new matter opening documentation is completed and accurately set up in the systems, and pro-actively ensuring the file continues to be managed correctly.
  • Assisting with monthly billing, WIP lists, processing expense claims and fee earner time entries.
  • Carrying out searches in a prompt and efficient manner.
  • Producing, amending, and scanning documentation and correspondence.
  • Performing general or client specific administration tasks as required.
  • Booking meeting rooms for client meetings, arranging conference calls and sending diary appointments.
  • Answering all phones in the department promptly and taking accurate messages.
  • Managing email boxes, greeting clients, opening and distributing post.
  • Assisting with Docusign.
  • Arranging business development trips for fee earners including travel and client meetings.
  • Attending training.
  • Working flexibly as a team member with the department to ensure there is support cover throughout the working week to meet the client needs.
  • Carrying out any projects/tasks as required by the Partners, Office Manager or other fee earners.

Qualifications

  • Educated to degree level with a law degree preferable but not essential.

Knowledge/skills/experience

  • Confident IT user with a good working knowledge of MS Office to include Word, Excel, PowerPoint and Outlook
  • Excellent typing and formatting skills
  • An interest in offshore law
